You can supply us with a spreadsheet of all of your clergy/religious. We will turn this into a database, which you can access through a secure online system called CASPAR. This is displayed like a spreadsheet, with the ability to order it by different columns, search for text, and filter your results by any column.
Information includes name, phone number*, mobile*, email*, clergy/religious, archbishop/bishop/priest/deacon/brother/sister etc, retired and postnominals. This can be carefully shared with various people in the Diocese ensuring the correct people people can access the same information without duplication.
You can download the up-to-date information as a spreadsheet at the click of a button.
*information is encrypted and the system requires multi-factor authentication to gain access.
You can view more information about each person, including address, Diocesan jobs etc. when you click on that person's record.
You will be able to make changes to the information at any point and it will be saved instantly.
Optional Extra: There are facilities to enable you to include the public information on your website or in a printed directory, formatting options to control what is shown and how it can look, and privacy options so clergy can choose what information is made public.
Your safeguarding/child protection department can update information such as when last checks were done, and that training is up to date.
This will mean a Celebret cannot be created unless these checks are up to date. They will also be able to update this at any point, so everyone's information is always kept up-to-date.
To create a Celebret, you simple press a button. This will create a record of a card which has a unique number and it will create the image which can then be printed by a card machine, or emailed to a printer.
The Celebret had various security features built in. There are various watermarks, which make the card difficult to forge. There are also several layers of water marks, some below the text and photo and some above. This makes it very difficult to change a Celebret without it being obvious.
The biggest security feature is the Celebret QR code - which appears on the card. If this is scanned with a mobile phone, it takes the person who checks it, to a page which confirms whether this card is valid.
If the card is lost, forged or a priest's details have been changed on the system, the page will immediately give the appropriate message to say there is a problem.
If the card if amended, the page will bring up the correct information and prompt the person checking to check the name and photo of the priest.
For addded security, this page can be added to the Diocesan website, so when they scan the QR code it takes them to your website.
You can send the Ad Clerum easily by email each week. As you have the up-to-date list of clergy and religious, you may as well use it. So you can upload a pdf and send it to everyone within seconds.
You can see how many people viewed the Ad Clerum each week, and even the status of each email - whether it arrived and whether it was opened.
If you need to contact your clergy and religious in an emergency, you can send a text message out to all of their mobiles by SMS.
This is far quicker, and much more likely to be read than sending an email. Also, if it is sensitive, it is more likely to go direct to the clergy, rather than go to a generic email address.
You can also use your clergy list to send general email or SMS text messages to all clergy/religious or to specific groups/individuals depending on your filters.
For example, you can send an email to all retired priest, or a text message to all deacons in seconds - and you can see if any of them aren't delivered. You will also be able to see if emails are delivered and opened.
Ideally, you don't want to duplicate the workload of keeping information up-to-date and when changes happen you want everyone to know. Therefore, sharing the information and using it for as many purposes as possible is ideal.
The Celebret System is part of CASPAR which already offers Dioceses around the world many solutions by joining up their information.
